1. Introduction

Welcome to RoboRegistry ("we," "our," or "us"). RoboRegistry is a service designed for collating data from scrimmages by FIRST (For Inspiration and Recognition of Science and Technology).

RoboRegistry is maintained and developed by Lucas Bubner. By using RoboRegistry, you acknowledge and accept this policy.

This service has been designed with integrity and security in mind, and this Privacy Policy exists to explain how we collect and process Personally Identifiable Information.

2. Data We Collect

RoboRegistry collects the following personal information in relation to using our service:

  • Names, including first and last names
  • Contact details, such as email addresses and phone numbers
  • User-specified affiliations in FIRST robotics contexts

RoboRegistry also collects additional information in the processsing of an event, which include:

  • Event details, including location, date, and time
  • Team details, including team numbers and name
  • Attendance estimates
  • Required contact details
  • Check-in specific information, including times, declared names, and declared affiliations from external sources

This data is utilised for the event registration system, described in Section 4.

We do not collect usage information on the RoboRegistry service.

3. How We Use Your Information

RoboRegistry collects information in order to provide functionality to the service.

All data we collect is essential in providing event data for event creators, and all collected data is explicitly requested from users.

RoboRegistry does not disclose or sell your information.

4. Events

An Event can be created by any RoboRegistry user, and have options to modify and manage their event details. An event consists of a time, location, and name, where users may be able to register through the Registration Form.

Registered data stored in an event can be be used for gathering insights into attendance at an event, which support in making decisions regarding catering, funding, or venue for the Event Creator.

Event Creators will have access to all explicitly mentioned information listed by your enrolment with the Registration Form.

No additional data outside the Registration Form is accessible to event creators.

If desired by the Event Creator, the check-in system provides a secondary source of event attendance information on the event day.

Users that have registered for the event have the option to check-in based on their first name, while users that are not on RoboRegistry have the option to declare external event attendance (as described in Section 2).

5. Data Retention & Modification

You have the right to access and modify your user information, including permanent removal of your account from RoboRegistry. These changes can be performed from the settings page.

Events your RoboRegistry account are registered for will not reflect your modified data, but can be removed by unregistering from an event.

RoboRegistry events with their registration window closed cannot be unregistered from, and removal of your account will not remove any data stored for the event.

6. Data Storage & Authentication

RoboRegistry utilises Google Firebase as a database and authentication service, a cloud-based platform to offer secure and reliable data storage solutions.

By using RoboRegistry, you acknowledge and agree to the following:

  • Data you provide to RoboRegistry may be stored on Google Firebase servers
  • Your login details are stored and processed through Google Firebase Authentication to ensure account security

7. Data Security

We utilise modern security standards to protect your information from unauthorised usage, which includes:

  • Comprehensive Firebase Database security rules
  • OWASP Web Security practices
  • SSL-encrypted communications
  • Cross-Site Scripting (XSS) protection
  • Secure and HTTP-only tamper-proof session cookies
  • Cross-Site Request Forgery (CSRF) protection
  • Content Security Policies to prevent unauthorised scripts
  • Additional web protections to ensure data integrity and security

RoboRegistry has been reviewed for common web vulnerabilities, which include XSS, CSRF, and session hijacking, passing all testing.

8. Disclaimer of Liability and Warranty

While we take reasonable measures to maintain the security and accuracy of data collected through RoboRegistry, we want to make it clear that:

  • The data provided through our project is for informational and convenience purposes only.
  • We do not make any warranties or representations regarding the accuracy, completeness, or reliability of the data.
  • You use the data at your own discretion and assume all risk associated with its use.

We expressly disclaim all liability for any errors or omissions in the data, or for any loss or damage resulting from its use.

9. Amendments to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our practices or for other operational, legal, or regulatory reasons. Any changes will be posted on this page with an updated "Last updated" date.
